About the role
For this role, you will need both PA/EA and administrative experience, including diary management and travel arrangements. In this role, you will over see daily operations for the office and provide high level PA support to the Director. 

Duties:

Oversee day-to-day operations of the office, ensuring efficient administration and coordination of office procedures, facilities maintenance, equipment records, and safety reporting.
Manage onboarding for new staff, students, and visitors, including inductions and workspace setup. Maintain accurate records of all members and coordinate the academic visitor scheme in liaison with HR.
Plan and deliver internal and external events, including logistics, communications, and staffing. Support outreach initiatives in collaboration with leadership, occasionally requiring evening or weekend work.
Provide high-level PA support to the Director, including complex diary management, correspondence handling, and coordination of meetings and briefings. Offer general admin support to the Senior Management Team.
Arrange complex travel for UK and international engagements, manage procurement processes through Oracle Financials, and liaise with couriers for imports/exports and loan agreements.
Support promotion of the through digital and print channels. Supervise administrative staff supporting ORI events and operations, allocating tasks and arranging cover when needed.

Selection criteria:

Experience of managing administrative processes or customer facing work, with a strong professional outlook.
Experience of diary management, including making complex travel arrangements and organising events.
Ability to interpret, apply and communicate regulations and procedures
The ability to work independently, with minimum supervision and good self-motivation and a willingness to resolve situations, as well as knowing when to refer issues to other
Previous experience of working as part of a team in a busy office environment
Excellent IT skills, including office suite and a range of modern online management tools e.g. Google Docs & Google Calendar. 
Experience of using financial information systems (e.g. Oracle Financials)
