About the role

To apply for this role you must have:

  • Experience arranging travel and logistics for meetings and events, including international coordination.

We are seeking an experienced and highly organised Personal Assistant to provide professional and proactive support to a senior academic leader. This role will play a key part in supporting the establishment of a new research group and the development of a major new institute, ensuring effective coordination across a range of academic and administrative activities.

The position is set to commence ASAP and will be full-time or part time (minimum 18.75 hrs p/w)  for an initial duration of 12 weeks with a pay rate of £18.80 per hour + holiday pay

Key Responsibilities:

  • Provide high-level PA support, including scheduling regular meetings and managing actions and correspondence.
  • Oversee complex diary management, prioritising appointments, requests, and deadlines across multiple projects.
  • Prepare and maintain accurate records, correspondence, and documents, including SharePoint filing systems.
  • Liaise with senior staff and members across departments and partner organisations to ensure smooth coordination.
  • Organise national and international travel arrangements for meetings and conferences.
  • Support communications and logistics for internal and external meetings and events.
  • Provide administrative support for research group activities and liaise with host departments as required.

Selection Criteria:

  • Proven experience as a Personal Assistant or in a similar administrative support role, ideally within a university, research, or complex organisational environment.
  • Excellent organisational and time management skills, with the ability to handle multiple priorities and meet competing deadlines.
  • High attention to detail and accuracy in document preparation, correspondence, and record-keeping.
  • Strong communication and interpersonal skills, with the ability to work effectively and professionally with senior academic staff.
  • Proficiency in Microsoft Office 365 (Word, Excel, Outlook, Teams, SharePoint) and online meeting tools.
  • Discretion and professionalism when handling confidential information.
  • Proactive and self-motivated, with the ability to anticipate needs and act on initiative.
  • Experience arranging travel and logistics for meetings and events, including international coordination.
  • Flexibility and adaptability to work effectively across different teams and evolving priorities.
