About the role

A department are looking for an experienced and highly organised Executive Assistant & Office Manager to provide comprehensive support to senior leadership while ensuring the smooth day-to-day running of the office. This is a varied and fast-paced role requiring excellent judgement, strong communication skills and the ability to manage competing priorities.

Duties:

Executive Support

Manage complex diaries for senior leaders, resolving clashes and anticipating future priorities
Prepare meeting papers and ensure all arrangements are in place
Act as a key point of contact for visitors and enquiries
Support inbox and correspondence management
Coordinate UK and international travel, including logistics, visas and risk assessments
Process expenses and maintain accurate records and contact lists

Office Management
Oversee facilities services, acting as the main liaison and monitoring service delivery
Coordinate internal communications regarding office activities and updates
Organise events, meetings and catering
Manage IT equipment requests, inventory and onboarding for new starters
Maintain office resources including the staff handbook, intranet and asset registers
Support inductions and ensure a smooth onboarding experience
Promote and maintain good data compliance practices

Financial Support
Manage office purchasing, including raising purchase orders and receipting invoices
Administer the office credit card and ensure accurate reconciliation
Liaise with suppliers and internal finance teams

Selection Criteria

A degree level qualification and/or demonstrable, relevant experience in business operations and working with senior teams
Experience of providing professional personal assistant/executive assistant support
The ability to manage successfully a variety of tasks at the same time, and to organise and prioritise your own work and supervise others, including managing unpredictable workloads and busy periods.
High calibre interpersonal and communication skills, with the ability to deal with a wide range of people including influential external contacts.
Excellent attention to detail, proactive approach and a high level of accuracy.
Excellent skills in office IT systems, including the full MS suite, working with AI-enabled technologies, Adobe, and dealing with events and audio-visual set ups for meetings.
A high standard of numeracy, experience working with financial systems and processes.
Evidence of tact and discretion in dealing with confidential or sensitive situations and personnel matters.
The ability to draft correspondence and to present information clearly.
