About the role

We are seeking a proactive and detail-oriented Finance Assistant to support the department’s financial operations by processing transactions, maintaining accurate records, monitoring budgets and purchasing activity, producing financial reports, and ensuring compliance with University financial regulations while providing excellent service to staff, suppliers and stakeholders.

The position is set to commence End of June or Early July and will be full-time (36.5 hours per week) for 12 weeks (with a pay rate of £14.98  per hour + holiday pay).

Key Responsibilities:

  • Respond to enquiries, providing advice on financial procedures and policies and referring to the Finance Supervisor, and Financial Regulations where necessary
  • Responsible for updating, providing and distributing standard financial budget and Purchase to Pay reports on a weekly/monthly basis
  • Process invoices in the Oracle Financial system and deal with anomalies, escalating complex queries to the most appropriate person
  • Responsible for checking and approving purchase requisitions for the department
  • Receipt Purchase Orders in a timely manner to allow for invoices to be paid within due dates
  • Contact end users and suppliers regarding Purchase Orders
  • To run financial reports, maintain databases and update records, checking figures for errors and omissions
  • Ensure all financial transactions are carried out in accordance with the University and external financial regulations
  • Maintain Departmental Barclaycards
  • To recharge for facilities and departmental costs on a monthly basis, this will include processing journals and raising invoices in a timely fashion
  • Reconciliation of ledger accounts
  • Maintain good working relationships with key suppliers and the University’s central finance office and research groups

Selection Criteria:

  • Experience of University's Oracle financial system
  • Educated to GCSE standard or equivalent, with a high level of literacy and numeracy
  • Experience in financial administration, including purchase to pay activities, receivable transactions and the use of a financial system
  • Strong IT skills, including Microsoft Word, Excel and databases
  • Good organisational skills, capable of working under pressure and prioritising tasks effectively.
  • Proven ability to generate high volumes of accurate work, with high attention to detail
  • Evidence of strong interpersonal skills and ability to interact with staff at all levels.
  • Excellent written and verbal communication skills
