About the role

We are seeking a highly organised and proactive Personal Assistant to provide comprehensive administrative and event support within a busy College environment. This varied role combines diary and event coordination, stakeholder liaison, Chapel administration and financial support, ensuring the smooth delivery of key events and day-to-day operations.

The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of £17.31 per hour + holiday pay

Key Duties:

  • Coordinate the planning and delivery of high-profile College events, working closely with internal departments and external stakeholders
  • Manage invitations, guest lists, RSVPs and special requirements, including VIP arrangements and accessibility needs
  • Prepare event documentation, including service sheets, seating plans and event materials
  • Produce publicity materials and service documentation using Microsoft Office and design software
  • Coordinate Chapel services and events, liaising with College departments to ensure successful delivery
  • Maintain diaries, bookings and schedules for Chapel activities, rehearsals, filming and external events
  • Process invoices and support routine financial administration
  • Manage enquiries and bookings for weddings, baptisms, funerals and visiting groups
  • Respond professionally to enquiries from staff, visitors and members of the public
  • Provide high-quality administrative support, maintaining accurate records and documentation

Selection Criteria:

  • Previous experience in a busy administrative or PA role, including diary and event management
  • Excellent organisational skills with the ability to manage multiple priorities and meet deadlines
  • Strong written and verbal communication skills with a professional and approachable manner
  • Proficiency in Microsoft Office, particularly Word and Excel, with experience producing high-quality documents
  • Experience using design software such as Adobe InDesign or Adobe Express (desirable)
  • Excellent attention to detail and proofreading skills
  • Ability to work independently and collaboratively with a wide range of stakeholders
  • Friendly, confident and customer-focused approach
  • Willingness to support the work of the Chapel and respect its role within the College community
