About the role

We are seeking a highly organised and proactive Operations Support Coordinator to join our dynamic team in Oxford. This is a unique opportunity to support the day-to-day operations of a growing, globally distributed initiative focused on research, education, and collaboration in the fields of migration and displacement.

You will play a key role in supporting internal systems, coordinating HR processes, streamlining operations, and ensuring that our Oxford office and wider global programmes run smoothly and efficiently.

Key Responsibilities

Operational Support

  • Provide day-to-day administrative and operational support across programme areas and geographical locations.

  • Assist with payments, reimbursements, ethics approvals, travel coordination, and university processes.

  • Help maintain and update the Oxford office operations manual.

  • Coordinate team events and contribute to academic and research-related administration as needed.

Human Resources

  • Maintain and develop our centralised HR system (BambooHR), including recruitment, onboarding, time-off tracking, and contract management.

  • Package and deliver onboarding materials for global new hires.

  • Support implementation of HR policies and initiatives aligned with RLRH’s mission and values.

Systems, Processes & Documentation

  • Review and support the drafting of key internal policies (e.g. employee handbook, code of conduct, DEI policy).

  • Conduct legal and regulatory research to ensure policy compliance.

  • Assist with CRM and knowledge management system implementation.

  • Identify and propose improvements to operational systems and documentation processes.

Essential Criteria

  • Demonstrated experience in operations, administration, HR coordination, and/or systems building within a nonprofit or similar organisation
  • Proven experience with University of Oxford processes and procedures
  • Familiarity with policy and document development (e.g. handbooks, workflows, SOPs)
  • Experience using digital productivity tools (e.g. Google Suite, Airtable, Microsoft BambooHR, CRM Platforms)
  • Excellent verbal and written communication skills, including confidence in drafting and editing long-form policy documentation
  • Experience in project coordination and management, with excellent organisational skills and time management
