We are seeking a highly organised and proactive Operations Support Coordinator to join our dynamic team in Oxford. This is a unique opportunity to support the day-to-day operations of a growing, globally distributed initiative focused on research, education, and collaboration in the fields of migration and displacement.
You will play a key role in supporting internal systems, coordinating HR processes, streamlining operations, and ensuring that our Oxford office and wider global programmes run smoothly and efficiently.
Key Responsibilities
Operational Support

Provide day-to-day administrative and operational support across programme areas and geographical locations.

Assist with payments, reimbursements, ethics approvals, travel coordination, and university processes.

Help maintain and update the Oxford office operations manual.

Coordinate team events and contribute to academic and research-related administration as needed.
Human Resources

Maintain and develop our centralised HR system (BambooHR), including recruitment, onboarding, time-off tracking, and contract management.

Package and deliver onboarding materials for global new hires.

Support implementation of HR policies and initiatives aligned with RLRH’s mission and values.
Systems, Processes & Documentation

Review and support the drafting of key internal policies (e.g. employee handbook, code of conduct, DEI policy).

Conduct legal and regulatory research to ensure policy compliance.

Assist with CRM and knowledge management system implementation.

Identify and propose improvements to operational systems and documentation processes.
Essential Criteria
- Demonstrated experience in operations, administration, HR coordination, and/or systems building within a nonprofit or similar organisation
- Proven experience with University of Oxford processes and procedures
- Familiarity with policy and document development (e.g. handbooks, workflows, SOPs)
- Experience using digital productivity tools (e.g. Google Suite, Airtable, Microsoft BambooHR, CRM Platforms)
- Excellent verbal and written communication skills, including confidence in drafting and editing long-form policy documentation
- Experience in project coordination and management, with excellent organisational skills and time management
