Join the team at the University of Oxford as a HR Officer, providing essential HR support to ensure the smooth operation of our activities and services across the University.
The position is set to commence 10 November 2025 and will be 12-week assignment with a pay rate of £16.92 per hour + holiday pay
Key Responsibilities:
- Act as first point of contact in the HR office for, staff and visitors. Respond to general enquiries interpreting university regulations and departmental procedures as appropriate.
- At all times adopt a ‘can do’ customer focused approach to work and colleagues
- Carefully check details of offers made to candidates; create formal offer letters, contracts, Occupational Health checks and issue them to the appointee
- Carry out new starter processes for all new employees including ensuring that we have documented and properly recorded proof of right to work. Promptly reporting refusals or other difficulties to the HR Manager.
- Visa-holder related administration including submitting Certificate of Sponsorship applications, completing notification forms and checking and monitoring of Visa holders including regular recording of absence.
- Prepare contract end reports, manage the data flow on contract end dates, extensions, conversion to permanent / open-ended, issue notice and dismissal letters, calculate redundancy payments. Follow up all other action points as directed.
- Manage administrative arrangements for training and induction events including room booking, issuing invitations and ensuring that attendance is properly recorded
- Follow administrative procedures, write new office procedures and set up new office systems
- Assist supervisors with staff recruitment: prepare job adverts, job descriptions and further particulars in line with all current university policies and guidelines. Using CORE, collate shortlist packs.
- Co-ordinate interview processes – liaising with Managers, setting schedules, inviting and communicating with candidates as well as booking rooms, arranging refreshments etc.
- Maintain a good working relationship with sub departmental administrative staff offering support advice and appropriate decision making.
- Manage staff changes, leaver procedures, salary changes, transfers, promotions.
- Ensure that all information and data is accurate, and that all personal information is held securely and confidentiality maintained.
- Run the monthly casual payroll for the department ensuring that proof of right to work has been obtained, pay rates are correct and payments are made on time via People XD.

- Formal qualifications at A Level standard or equivalent and / or significant work experience in a similar role
- Experience of managing administrative processes and evidence of a customer orientated approach to work
- Ability to demonstrate evidence of a proactive approach to HR related project work
- Role model of teamwork, sharing knowledge and experience and supporting the development of other team members
- Ability to share examples and demonstrate evidence of continuous improvement within the HR team
- Ability to interpret, apply and communicate regulations and procedures
- A positive can-do attitude to ensure successful building of relationships with academics
- The ability to work independently, with minimum supervision, and a willingness to resolve situations, as well as knowing when to refer issues to others

- Ability to use standard computer programmes (Outlook, Word, Excel) and have experience of using a database
- Up-to-date knowledge of employment law.
- Ability to clearly and accurately communicate HR processes and procedures verbally and in writing.
- Demonstrate an ability to prioritise workload and produce accurate, detailed work within deadlines
- High level of attention to detail
- Previous experience of working as part of a team in an office environment
- Ability to identify and implement continuous improvement initiatives.
