We are seeking a highly organised, proactive, and professional Executive Assistant (EA) to support the Chief Digital Information Officer (CDIO) in delivering strategic priorities across the department.
As a trusted partner, you will play a pivotal role in ensuring the effective day-to-day running of the office, working closely with senior colleagues across the University and beyond. This is a varied and rewarding role, ideal for someone with strong experience at executive level and a passion for delivering high-quality support in a complex organisation.
Essential Skills and Experience:
Significant experience as a PA or EA supporting executives at a senior level in a large or complex organisation.
Proven track record of managing busy diaries and organising international travel arrangements.
Excellent digital literacy, including Microsoft Office, and a readiness to adopt new technologies and AI tools.
Manage the daily operations and strategic business planning within the office.
Build strong working relationships across departments, divisions, and senior leadership
Efficiently manage a high-volume diary and inbox, using judgement to prioritise and delegate appropriately.
Prepare briefing notes, ensure timely circulation of meeting papers, and follow up on actions.
Coordinate complex UK and international travel, including visa arrangements.
Organise large-scale events, away days, and conferences, including managing logistics and budgets.
Manage internal committee business, including agenda setting, minute taking, and ensuring follow-up on decisions.
Maintain accurate and accessible records, and continuously improve administrative systems and processes.
Represent the office with professionalism, tact, and discretion at all times.
Act as a mentor to new administrative staff and contribute to staff forums and communities of practice.
Embrace digital tools and AI to streamline administrative processes and enhance efficiency.
Provide occasional cover for colleagues and oversee junior staff as required.
Support and collaborate with colleagues in to provide seamless administrative support.

You’ll be an experienced and forward-thinking EA, comfortable working with senior leadership and confident managing complex schedules and communications. You’ll bring initiative, discretion, and a solutions-focused mindset to everything you do.
