About the role

We are seeking an experienced and highly organised Senior Administrative Officer/PA to provide comprehensive administrative and operational support to the Senior Leadership Team. This is a varied and fast-paced role requiring excellent judgement, strong communication skills, and the ability to manage competing priorities with confidence and discretion.

The successful candidate will play a key role in ensuring the smooth running of senior leadership activities, meetings, events, and wider administrative processes.


Key Responsibilities

  • Arrange, service, and support meetings, including booking rooms, organising catering and technical support, and taking minutes and actions as required.

  • Assist with the administration of conferences, workshops, and other academic and professional events.

  • Provide high-level administrative support to the Senior Leadership Team, with occasional cover for the Director’s Executive Assistant, including travel bookings and expense claims.

  • Maintain, develop, and improve filing and reporting systems, providing feedback to programme teams and other stakeholders where appropriate.

  • Identify urgent and high-priority matters, ensuring senior staff are informed and actions are allocated in a timely manner.

  • Liaise with senior administrative colleagues across the Institute and wider Department to ensure business is progressed efficiently.

  • Act as the first point of contact for the Senior Leadership Team, managing correspondence professionally and appropriately.

  • Manage complex diaries for senior leaders, making informed decisions to prioritise meetings, external stakeholders, and senior university colleagues, while ensuring smooth transitions between commitments.


Selection Criteria

Essential:

  • Proven EA/PA experience

  • Proven experience of drafting correspondence, minutes, and announcements. 

  • Proven experience of diary management and arranging travel

  • Experience supporting the successful delivery of events, with a good understanding of organising academic and social events.
