We are seeking a highly skilled and discreet Office Administrator to provide comprehensive administrative support to the Warden. This role requires exceptional typing skills, strong organisation, and the ability to manage confidential information while supporting a wide range of professional and external commitments.
The position is set to commence ASAP and will be part time (25 hrs p/w) for an initial duration of 12 weeks with a pay rate of £16.92 per hour + holiday pay
Key Duties:
- Provide high-volume audio and copy typing for the Warden (55–60 wpm), including formatting formal correspondence and reports
- Draft, send and manage correspondence and emails on behalf of the Warden
- Research and prepare briefing papers, reports and documents, often from handwritten notes
- Maintain accurate paper and electronic filing systems, liaising with archives when required and ensuring compliance with data protection policies
- Prepare daily diary packs and ensure all papers are ready in advance of meetings
- Organise invitations and manage logistics for student and University lunches, including guest lists, dietary requirements, seating plans and coordination with staff
- Monitor and manage multiple email inboxes, including event correspondence
- Support the organisation of events in the Lodgings, including table plans, place cards and attendance management
- Arrange recital invitations, reserve lists and programmes
- Liaise regularly with Maintenance, IT, Catering and Housekeeping to ensure smooth day-to-day operations
- Arrange purchases and manage deliveries on behalf of the Warden
- Provide printing and general office support
- Cover the PA role when required and assist with diary awareness and travel bookings
Selection Criteria:
- Degree-level education or equivalent professional experience
- Excellent administrative and organisational skills
- Outstanding interpersonal and written communication skills
- High level of IT proficiency
- Ability to meet deadlines and work under pressure
- Exceptional attention to detail
- Ability to work independently with minimal supervision
- Proven discretion and professionalism in handling confidential and sensitive information
