About the role

We are seeking a highly organised and proactive Personal Assistant to provide comprehensive administrative and operational support to senior staff. The role combines diary and meeting coordination, financial administration, travel management, onboarding support, and communications activity.

The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of £16.92 per hour + holiday pay

Key Duties:

  • Manage complex diaries, prioritising and rescheduling meetings as required
  • Coordinate meetings and events, including agendas, papers, minute-taking and action tracking
  • Arrange travel and accommodation in line with University policies, raising purchase orders and managing bookings
  • Administer expense claims via SAP Concur and process invoices and payments in Oracle
  • Manage departmental credit card transactions in accordance with procedures
  • Coordinate conference attendance, including registrations, payments and associated travel
  • Support onboarding of new staff, arranging system access, IT equipment, workspace and induction
  • Act as a first point of contact for administrative queries
  • Maintain and update departmental webpages and social media content, promoting events in collaboration with Communications colleagues
  • Provide general administrative and office support as required

Selection Criteria:

  • Proven experience providing high-level administrative and diary support to senior staff
  • Experience coordinating meetings and events, including minute-taking and document management
  • Experience arranging travel, raising purchase orders and managing bookings
  • Experience processing expenses and financial transactions using systems such as SAP Concur and Oracle
  • Strong organisational skills with ability to manage competing priorities and confidential information
  • Experience supporting conference and event logistics
  • Experience coordinating staff onboarding processes
  • Excellent written and verbal communication skills, including digital content support
