About the role

To apply for this role you must have:

  • Significant experience in strategic event management within a complex academic or professional environment.
  • Proven ability to work with senior stakeholders and manage reputational risk.
  • Proven experience of effectively using event management software (Cvent, MS Forms, Eventbrite etc,) and online platforms to deliver digital events (Microsoft Teams, Zoom, etc).

We are seeking a strategic and highly experienced Academic Events Officer to lead the planning and delivery of a high-profile academic events portfolio. The role involves end-to-end event management, stakeholder engagement at senior level, reputational risk oversight, and strategic alignment with the School’s objectives.

The position is set to commence ASAP and will be part time 15 hrs p/w for an initial duration of 12 weeks with a pay rate of £25.19 per hour + holiday pay

Key Duties:

Planning and Coordination

  • Lead the strategic planning and delivery of a comprehensive events programme for internal and external audiences
  • Work collaboratively with senior academics and stakeholders to shape and align events with strategic priorities

Operational Management and Delivery

  • Manage the full lifecycle of events, from concept to evaluation
  • Assess reputational risks and develop innovative mitigation strategies
  • Translate complex academic content into engaging formats for non-specialist audiences
  • Advise and brief senior leaders on event roles, content and strategic positioning
  • Chair project groups and coordinate cross-functional teams
  • Source, brief and manage speakers and academic contributors
  • Evaluate events through surveys and data analysis to inform continuous improvement
  • Determine appropriate delivery models (in-person, hybrid, online)
  • Recruit and manage event staff and stewards
  • Manage budgets, negotiate supplier contracts and ensure value for money
  • Ensure compliance with health and safety, data protection, accessibility and emerging legislation

Communications

  • Develop and deliver communication plans for public-facing events
  • Produce high-quality materials including websites, invitations, programmes and briefings

Selection Criteria:

  • Significant experience in strategic event management within a complex academic or professional environment
  • Proven ability to work with senior stakeholders and manage reputational risk
  • Strong leadership, influencing and diplomatic skills
  • Experience managing budgets and negotiating supplier contracts
  • Excellent written and verbal communication skills
  • Strong analytical skills and experience evaluating event impact
  • Detailed knowledge of compliance requirements for events
  • Ability to manage multiple priorities in a fast-paced environment
