We require an experienced Project Communications Officer to support a time-limited project to rationalise, redesign and deliver communications relating to Conflict of Interest (CoI) and outside appointments processes. This work supports an internal audit action to be delivered within the current academic year and aligns with migration to OxIntranet.
The position is set to commence asap and will be full-time (37.5hours per week) for a duration of 12 weeks with a pay rate of £20.77 per hour + holiday pay.
Key Responsibilities:
The primary purpose of the role is to lead the review, restructuring and delivery of clear, coherent and user-centred communications for CoI and outside appointments processes. This includes consolidating fragmented guidance currently spread across multiple websites and documents, aligning content with a draft policy and emerging process design, and supporting rollout of the revised approach with effective communications. This is a delivery-focused role requiring a proactive communications professional with strong content design and UX awareness, capable of bringing coherence to complex and fragmented information.
The Project Communications Officer will:
• Audit and map existing CoI and outside appointments guidance across relevant websites and documentation.
• Identify duplication, inconsistencies and gaps in content and user journeys.
• Design a clear and consolidated information architecture suitable for OxIntranet.
• Rewrite and restructure content to ensure clarity, accessibility and consistency for a broad internal audience.
• Develop and refine a targeted communications plan to support the launch of the revised process, harnessing existing channels.
• Produce high-quality communications content explaining what is changing, why it is changing, and what staff need to do.
• Advise stakeholders on appropriate channels, sequencing and engagement approaches, working with relevant communications colleagues.
• Work as a specialist communications expert within the project.
Selection Criteria:
• Be educated to degree level or have equivalent, relevant professional experience.
• Have proven experience in a communications role within a large, complex organisation with multiple stakeholder groups.
• Have proven experience of developing and implementing effective internal communications plans
• Demonstrate the ability to quickly assimilate complex policy and process information and translate it into clear, accessible communications for non-specialist audiences.
• Have excellent written skills and experience of producing high-quality web and briefing content.
• Have experience of managing and creating online content using a CMS.
• Be confident working independently, advising stakeholders and engaging staff across different professional functions.
• Be well organised, methodical and able to meet deadlines within a busy project environment.
• Demonstrate a good understanding of user experience and information architecture principles.
• Ability to work independently or as part of a team
Desirable experience includes communications for policy or process change, experience of IT-enabled change, a good understanding of user experience and information architecture principles, familiarity with SharePoint, Mosaic/Drupal or similar platforms, and knowledge and awareness of communications at the University of Oxford.
