About the role

We are looking for an organised and proactive Outreach and Events Assistant to support the delivery of outreach and access programmes, with a particular focus on online and residential activity. This role will involve coordinating events, managing communications with schools, students and stakeholders, supporting marketing activity, maintaining accurate records and providing wide-ranging administrative support to ensure programmes run smoothly. 
 
The department are flexible with hours, and are happy to offer this as either PT or FT, from 18.25-36.5 hours p/w.

Duties:


Support the planning and delivery of outreach and access initiatives, including online and residential programmes.
Act as a key point of contact for enquiries, building positive relationships with schools, students, parents and other stakeholders.
Coordinate the logistics of events and residentials, including venues, accommodation, catering, teaching spaces and supplier liaison.
Prepare correspondence, participant communications, presentation materials and support marketing activity, including social media and mailouts.
Provide administrative support including meeting coordination, minutes, financial processing, expense forms and data management.
Support the recruitment and coordination of student ambassadors and mentors, including advertising roles, arranging interviews, onboarding and training.

Selection criteria:

Experience of working with young people (in a supervisory capacity), with an understanding of education and university context.
Event management experience especially booking venues, participant communications, arranging travel, booking refreshments and arranging speakers. 
Excellent communication skills, in particular, experience in dealing with a range of audiences through face to face, social media, telephone and writing.
Ability to develop and deliver creative activities for young people which meet the strategic aims of the programmes.
Experience of administrative work related to finance, personnel, diary management and other general administration.  
Excellent IT skills, including a high level of competence and experience working with web-based publishing and Microsoft Office, in particular Outlook, Excel, PowerPoint and Word. 
A willingness to work extra hours at peak times, subject to overtime arrangements.
