About the role

We are currently recruiting for a Temporary Sales Ledger Officer for a centrally based Oxford University College. The position is set to commence as soon as possible and will be full-time for an initial duration of 12 weeks.

You will be responsible for managing key aspects of the Sales Ledger function, ensuring accurate billing, reconciliation, and income processing across a range of streams including student fees, battels, rental, and conference income.

Key Responsibilities

Student Fees

  • Manage the end-to-end invoicing process for University fees
  • Reconcile student fees with University databases
  • Liaise with University departments, sponsors, and internal teams
  • Process adjustments for student suspensions and returns
  • Administer US student loans
  • Process payments for grants, scholarships, bursaries, and allowances
  • Raise continuation fees on a termly basis

Student & Fellows Battels

  • Oversee the full battels process each term
  • Work closely with the Accommodation Manager on accommodation billing (Kinetics system)
  • Process meal charges and ancillary costs (EPOS system)
  • Manage student deposits including reconciliation
  • Handle battels-related queries and arrange repayment plans where needed
  • Process Direct Debit collections

Month-End Duties

  • Conduct monthly aged debt reviews and report findings
  • Chase outstanding debt effectively
  • Complete monthly reconciliations (fees and control accounts)
  • Update rent income and lease reports
  • Review VAT sales daybooks and exception reports
  • Process quarterly DOMUS income

About You

We are looking for someone who is highly organised, detail-oriented, and confident working in a fast-paced finance environment.

Essential:

  • 2–3 years’ experience in a similar Sales Ledger or finance role
  • A-Level education, AAT qualification, or equivalent experience
  • Strong understanding of sales ledger, credit control, reconciliations, and double-entry bookkeeping
  • High level of accuracy and attention to detail
  • Excellent IT skills, particularly Microsoft Excel
