About the role

We are seeking a proactive and organised Project Administration Officer to provide administrative and operational support across a range of projects and activities. The role combines project coordination, financial administration, communications support and stakeholder liaison within a collaborative environment.

The position is set to commence ASAP and will be full-time for an initial duration of 12 weeks with a pay rate of £18.80 per hour + holiday pay

Key Duties:

  • Provide day-to-day administrative and coordination support to Programme Managers and the wider project team
  • Support the organisation of meetings, workshops and events
  • Assist with budget reporting, purchase orders, quotes, invoices and expenditure tracking
  • Support internal and external communications activities
  • Coordinate travel and accommodation arrangements, ensuring compliance with procedures and policies
  • Maintain and improve filing systems and project records
  • Support ethics compliance processes and preparation of funder reports
  • Update and maintain website content and online resources
  • Assist with formatting and editing reports, presentations and briefing materials
  • Support smooth day-to-day office operations, including supplies and facilities coordination
  • Maintain accurate contact records in line with GDPR requirements
  • Liaise with internal teams regarding HR, operations and administrative processes

Selection Criteria:

  • Degree-level education or equivalent experience
  • Proven administrative experience with strong organisational skills
  • Strong Microsoft Office skills, particularly Excel, Word and PowerPoint
  • Good numeracy skills and experience supporting budgets
  • Excellent IT skills, including databases and online systems
  • Strong written communication and editing skills
  • Ability to prioritise workload and work independently under pressure
  • Proactive and flexible approach with strong initiative
  • Excellent interpersonal and cross-cultural communication skills
