About the role

We are looking for a highly organised, proactive, and customer-focused Office & Facilities Manager to oversee the smooth day-to-day operation of our departmental facilities across two office buildings. This is a varied and rewarding role where you'll play a vital part in creating a safe, welcoming, and efficient working environment for staff, students, and visitors.

You'll lead reception and facilities services, manage health and safety, coordinate office moves and space planning, oversee parking and building security, support IT and office infrastructure, and organise departmental events and wellbeing initiatives. Working closely with colleagues across Facilities Management, IT, Security, and senior leadership, you'll ensure our offices operate effectively and continue to meet the needs of a growing department.

Key Responsibilities

As Office & Facilities Manager, you will:

  • Lead and manage reception services across two buildings, ensuring a professional, consistent experience for visitors and staff.
  • Oversee meeting room bookings, room set-up, refreshments, postal services, and office consumables.
  • Manage departmental budgets for stationery, refreshments, and health and safety.
  • Train, develop, and support reception and administrative staff.
  • Coordinate the annual car parking permit process and manage visitor and operational parking arrangements.
  • Act as the main point of contact for facilities management, building maintenance, cleaning services, and security.
  • Manage office access, key security, storage allocation, and building-related issues.
  • Provide first-line support for office technology, including printers, AV equipment, monitors, and docking stations, liaising with IT and external suppliers where required.
  • Support departmental space planning and lead office relocation projects from planning through to completion.
  • Serve as the Department Safety Officer, ensuring compliance with health and safety legislation, coordinating fire safety procedures, risk assessments, DSE assessments, accident reporting, and staff wellbeing initiatives.
  • Deliver inductions and health and safety presentations for new and existing staff.
  • Organise departmental events including staff celebrations, charity fundraising activities, and wellbeing initiatives.

Essential Criteria

  • Experience running a reception service or experience in an office facilities role
  • Computer literate e.g. good knowledge of computers, including Microsoft applications
  • Sound technical skills: able to perform basic troubleshooting on AV equipment, printers etc
  • Professional and flexible approach to work and able to remain calm under pressure
  • Understanding of Health and Safety requirements for an office environment
  • Experience of budget management.
