Role Overview
The Interim Academic Registrar is responsible for operational leadership across all aspects of academic administration, student welfare, and wellbeing services at the college. As Head of the Academic Office, the candidate champions the student experience, ensuring a smooth journey from admissions to graduation. Reporting directly to the Master of the College, the Registrar plays an active role in College governance, attending and advising key committees, including the Governing Body.
Key Responsibilities
Admissions & Induction
- Lead student recruitment and admissions, ensuring a seamless application and enrolment process.
- Oversee the Freshers induction programme, working closely with student representatives and College teams to provide a welcoming and engaging start for new graduates.
- Collaborate with the Admissions Administrator to ensure the specific needs of international students are considered in registration and orientation plans.
- Work with the Communications team to contribute to the Student Handbook and update key student information across the College website and other platforms.
Academic Administration & Support
- Ensure student records are accurately maintained (via eVision) and oversee academic progress monitoring.
- Support students through key academic milestones including registration, status changes, suspension, extensions, and deferrals, ensuring compliance with University policy.
- Oversee alternative exam arrangements for students requiring specific accommodations, including the recruitment of invigilators.
- Ensure Graduate Supervision Reports (GSR) are monitored and that any academic concerns—whether related to University provisions or College support—are promptly addressed.
- Lead on the allocation of College Advisors, ensuring all students receive appropriate academic support and mentorship. Act as a key contact for College Advisors to raise concerns and determine appropriate actions for advisees.
Freshers Planning & Student Engagement
- Chair the Freshers Planning Group, leading regular meetings with College staff and the SRC to coordinate Freshers activities during Freshers fortnight and Michaelmas term.
- Act as the point of contact for SRC President and Vice-President, ensuring clear communication streams between student representatives and College teams.
Welfare & Wellbeing Support
- Oversee student welfare provision, ensuring a strong support system from admissions through to graduation.
- Serve as the College’s Disability Co-Ordinator, working with the University Disability Advisory Service to ensure reasonable adjustments for students with disabilities or special needs.
- Act as a first point of contact for sensitive welfare issues, collaborating with University departments, supervisors, Directors of Graduate Study, and welfare representatives.
- Work alongside College welfare representatives, Student Support Coordinators, and healthcare professionals to signpost students to appropriate services such as College Counselling, Disability Advisory Services, or hardship funding.
- Ensure students are aware of mental health and wellbeing resources and can seek support confidentially.
- Manage complex welfare-related casework, including hardship cases, and ensure appropriate interventions where necessary.
Events & Student Life
- Lead the planning and delivery of key academic events including Matriculation, Degree Days, and Graduation ceremonies, ensuring formal lists and arrangements are efficiently managed.
- Oversee the Going Down Dinner and other College-led student events in collaboration with the Events and Development team.
Representation & Policy Development
- Attend and advise at College committees and Governing Body meetings, championing graduate student welfare and academic progress.
- Represent the college at university-wide forums such as the Graduate Committee of the Conference of Colleges, Welfare Forums, Academic Registrars Committee, and Graduate Admissions Forum.
- Contribute to College responses to University and Conference of Colleges consultations on graduate student policies.
- Develop and maintain the College Equality, Diversity and Inclusion Policy, ensuring annual reviews and improvements.
Financial & HR Management
- Manage the Academic Office budget, monitor spending, and report on financial planning for student support services.
- Work closely with senior managers to make funding decisions for student hardship cases, ensuring holistic support.
- Lead and line manage the Academic Office Team, ensuring staff development, training, and performance management align with College and University policies.
