About the Role
As the first point of contact for the HR office, you will provide high-quality administrative support across a range of HR activities. You will respond to general enquiries, offer clear guidance on university regulations and procedures, and ensure all processes are carried out accurately and efficiently. Your responsibilities will include:

Acting as the initial point of contact for staff and visitors, delivering a professional, “can-do” service.

Preparing offers of employment, contracts, and Occupational Health checks, ensuring all documentation is accurate and compliant.

Managing the full new starter process, including verifying and recording right-to-work documentation and escalating issues when required.

Carrying out visa-related administration (Certificates of Sponsorship, monitoring attendance, and compliance reporting).

Overseeing contract changes, end-of-contract processes, extensions, conversions to permanent, and preparing notice or dismissal letters.

Administering training and induction activities, including room bookings, invitations, and attendance records.

Creating, updating, and improving office procedures and systems.

Supporting recruitment activities by preparing job adverts and documentation, and compiling shortlist packs through CORE HR.

Co-ordinating interviews, including scheduling, candidate communication, room bookings, and logistics.

Providing advice and support to departmental administrative staff, fostering positive working relationships.

Managing staff changes, leaver procedures, promotions, transfers, and salary updates.

Ensuring accurate and confidential handling of all HR information and records.

Running the monthly casual payroll, ensuring right-to-work compliance, correct pay rates, and timely payments via PeopleXD.
Essential Criteria

Proven significant experience in a similar HR role within Oxford University

Experience managing HR processes and a strong customer-oriented approach.

Evidence of proactive involvement in HR-related project work and continuous process improvement.

Up-to-date knowledge of employment law.

Excellent verbal and written communication skills, with the ability to explain HR processes clearly and accurately.
