About the role

We are seeking a highly organised and detail-oriented Student Records Project Officer to support the implementation of student records retention and file management practices within the Law department. This is a short-term, project-focused role working closely with senior stakeholders to embed compliant, practical processes for managing student records in SharePoint.

The Role

This role will be delivered in two phases over approximately two months and will focus on the application and implementation of the University’s student records retention schedule.

Phase 1 – Scoping and Guidance Development (Month 1)
You will:

  • Receive training from the Senior Data Compliance Officer on the University’s student records retention schedule.

  • Develop clear, practical protocols for applying the retention schedule to new files within the Law department’s SharePoint site.

  • Document these protocols as a Standard Operating Procedure (SOP) for future reference.

  • Deliver training to student administration staff and act as a point of contact for queries during the assignment.

Phase 2 – Implementation and Automation (Up to 1 further month)
You will:

  • Work collaboratively with the Senior Data Compliance Officer and the Social Sciences Divisional IT Support Group to support the automated application of retention rules to existing student files migrated to SharePoint.

  • Undertake checks on any files remaining on the former file server.

  • Follow existing process maps and SOPs where available, and support the testing and development of new SOPs as required.

 

Essential Selection Criteria

  1. Proven administrative experience within a higher educational establishment

  2. Experience of working with electronic filing or document management systems, such as SharePoint. 

  3. The ability to interpret guidance or policies and apply them consistently in practice.
