We are seeking an experienced and highly organised Course Administrator to manage the full administrative lifecycle of the MSc/PGDip in Sleep Medicine, alongside associated short courses and training programmes. This is a key role supporting students, academics, and external partners, ensuring the smooth delivery of a complex and high-profile postgraduate programme.
The candidate will provide a comprehensive, coordinated administrative service from admissions through to programme completion, contributing to an excellent student experience and the ongoing development of the programme.
Key responsibilities
Course and student administration

Manage all course administration for the MSc/PGDip in Sleep Medicine and associated short courses, supporting students from application through to completion.

Act as the principal point of contact for enquiries from current and prospective students, academics, and colleagues.

Administer all aspects of admissions, including recruitment activities, application processing, shortlisting, interviews, offers, bursaries, liaison with colleges, induction processes, handbooks, and student fees.

Manage student records, including registration, suspensions, withdrawals, and accurate record keeping in line with University policies.
Teaching and examinations

Administer the teaching programme, including preparation and distribution of teaching materials via the Virtual Learning Environment, organising teaching timetables, and supporting the acquisition of external teaching materials.

Administer examinations for MSc/PGDip and short courses in accordance with University and Divisional regulations, including preparation of documentation, maintenance of exam conventions, processing confidential data, liaising with examiners, managing extensions and excusals, and providing practical support throughout the examination period.
Governance, finance, and liaison

Act as secretary to the Course Management Committee and provide administrative support to other related committees as required.

Maintain strong working relationships across the collegiate University, working closely with the administration team to ensure compliance with admissions, teaching, records, and examination policies.

With support from the Finance Manager, maintain financial oversight of the programme and its business plan.

Raise purchase orders using the University’s R12 Oracle finance system.

Liaise with international professional societies and employers to promote and market the programme.
Team leadership and continuous improvement

Line-manage and supervise administrative assistant(s) supporting the programme.

Maintain and develop administrative standard operating procedures.

Review, recommend, and adapt administrative processes to ensure efficient and effective working practices, liaising with colleagues across departments as appropriate.

Undertake other duties within the department and wider sleep medicine team, commensurate with the grade and responsibilities of the role.
Selection criteria
Essential:

Educated to degree level or holding an equivalent academic or professional qualification.

Proven and direct experience of course administration within higher education.

Experience of overseeing or supervising the work of a colleague.
