About the role

We are seeking an organised and proactive Office Manager to provide high-level administrative, financial and operational support across WildCRU’s research activities, coordinating projects, budgets, events and office functions while acting as a key point of contact for academics, staff, students and external partners.

The position is set to commence asap and will be full-time (37.5 hours per week) for 12 weeks initially (with a pay rate of £18.80 per hour + holiday pay).

Key Responsibility

Project & Research Support

  • Provide comprehensive project coordination and administrative support across multiple WildCRU research projects.
  • Assist PIs with project set-up, including timelines, compliance requirements, and documentation.
  • Support recruitment processes for research staff and students.
  • Monitor project running costs and assist with budget management.
  • Provide administrative support for grant applications and post-award management.

Financial & Grants Administration

  • Track and manage project budgets, ensuring accurate reporting and compliance with funder requirements.
  • Raise requisitions and support financial processes on behalf of the SMT and PIs.
  • Liaise with University finance teams on accounts, expenditure, and grant-related matters.

Office & Operations Management

  • Act as Office Manager for WildCRU, ensuring efficient day-to-day operations.
  • Serve as a key liaison between SMT, PIs, and departmental staff.
  • Manage office supplies and ordering processes.
  • Oversee incoming and outgoing post and general office coordination.

Events & Visitor Coordination

  • Coordinate WildCRU seminars and events (e.g. Friday talks).
  • Manage visitor arrangements, including onboarding documentation and expense claims.

Staff & Student Support

  • Respond to student and general enquiries, acting as a first point of contact.
  • Support HR-related processes, including recruitment administration and exit interviews.
  • Coordinate and support training activities for staff and students.

Process Improvement & Documentation

  • Develop and maintain templates, guidance documents, and standard operating procedures.

Contribute to continuous improvement of administrative systems and processes within WildCRU.

Selection Criteria:

Essential

  • Proven experience in project coordination, administration, or operations.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Experience in financial administration, including budget tracking.
  • Excellent interpersonal and communication skills, with the ability to work effectively with academic and professional staff.
  • High level of accuracy and attention to detail.
  • Ability to work independently and use initiative in a dynamic environment.

Desirable

  • Experience working in a research or higher education environment.
  • Familiarity with research grant processes and funder requirements.
  • Experience supporting HR or recruitment processes.
  • Interest in conservation, ecology, or wildlife research.
