About the role

We are seeking an organised and proactive HR Officer to join our team. This role is ideal for someone who enjoys providing high-quality administrative support across recruitment, HR and casual payroll, working collaboratively across two departments to deliver an efficient, accurate and customer-focused service.

The position is set to commence asap and will be from 3-5 days per week for 12 weeks (with a pay rate of £18.80 per hour + holiday pay).

Main Duties:

**Post holder are required to provider services to 2 different department in the same building**

Recruitment Administration

  • Provide administrative support for recruitment exercises across the Doctoral Training Centre and Department of Computer Science during the HR transition period.
  • Prepare and issue recruitment documentation using University templates, including interview invitations, outcome letters, offer letters and other standard correspondence.
  • Support the end-to-end administration of recruitment campaigns, including placing advertisements, monitoring applications, arranging interviews and preparing interview documentation.
  • Liaise with candidates, recruiting managers and central HR to ensure recruitment activities progress smoothly and within University timescales.

    HR Administration

  • Prepare standard HR documentation including contracts, appointment letters, visitor agreements and other routine correspondence using approved templates.
  • Maintain accurate electronic HR records and filing systems, ensuring confidentiality and compliance with GDPR and University procedures.
  • Support routine HR processes such as onboarding, right to work checks, probation administration and staff record updates.
  • Assist with monitoring key HR activities such as probation dates, contract end dates and other recurring administrative tasks.

    General Administrative Support

  • Provide additional administrative support to the joint HR team during the merger of the Doctoral Training Centre and Department of Computer Science HR functions.
  • Respond to straightforward HR and recruitment queries, referring more complex matters to senior HR colleagues.
  • Assist with high-volume administrative tasks, ensuring work is completed accurately and to agreed deadlines.
  • Support the team with data entry, document preparation, reporting and other general administrative duties as required.

    Team Support

  • Work collaboratively with colleagues across both departments to ensure a consistent and efficient HR service.
  • Contribute to improving administrative processes where appropriate.
  • Undertake training on relevant University systems and procedures as required.
  • Carry out other reasonable duties commensurate with the grade of the post.

    Casual Payroll Administration

  • Support the administration of the Department's casual payroll processes, ensuring claims are received, checked for completeness and processed in accordance with University procedures and deadlines.
  • Liaise with managers, casual workers and Payroll to resolve straightforward queries and ensure all required documentation is completed.
  • Maintain accurate records relating to casual workers and payroll submissions, ensuring confidentiality and compliance with University procedures.

Selection Criteria:

  • Experience of working in an HR team/ HR role
  • Up-to-date knowledge of employment law (including equality, capability, discipline, dismissal, and redundancy)
  • Awareness of data protection and information security guidelines
  • Ability to clearly and accurately communicate HR processes and procedures verbally and in writing
  • Demonstrable ability to prioritise workload and produce accurate, detailed work within deadlines
  • Experience of providing a high level of customer service with accuracy and attention to detail
  • Experience of relevant administrative work including ability to use Microsoft Office and email
  • Ability to work independently and as part of a team
  • Willingness to undertake professional development and training
