About the role

A centrally based University of Oxford department is seeking a Temporary Graduate Assistant to provide administrative support for DPhil students and contribute to the effective delivery of graduate administration.

Please note: Candidates should only apply if they have relevant experience managing the specified progression processes, including Transfer of Status, Confirmation of Status and submission.

Key responsibilities

  • Manage routine DPhil progression, including Transfer of Status, Confirmation of Status and submission, referring complex cases to the Graduate Officer or Director of Graduate Studies as appropriate.
  • Act as a first point of contact for DPhil enquiries, providing prompt, accurate and professional customer service.
  • Maintain accurate student records and ensure compliance with GDPR and University processes.
  • Support DPhil admissions, student communications, training and meetings.
  • Update University systems, SharePoint and online student information.
  • Monitor student progression and supervision arrangements, escalating issues where appropriate.
  • Work collaboratively with colleagues, contribute to effective administrative processes and support the team during busy periods.

Essential criteria

The successful candidate will have:

  • Flexible approach to work, with a ‘can do’ attitude and a strong focus on professional customer service
  • The ability to work as part of a team and to contribute actively to team communication, and to use own initiative to work independently when appropriate
  • Demonstrable ability to work under pressure, meeting strict deadlines and maintaining excellent attention to detail
  • Good organisational skills, the ability to manage multiple work streams and prioritise as necessary
  • Very strong communications skills, in writing and in person, able to communicate clearly and appropriately with students and staff at all levels
  • Excellent literacy (English language) and numeracy, and a good level of secondary education
  • Strong IT skills, including MS Office (Word, Excel, Outlook) and the ability to learn specialist software (e.g. eVision), and demonstrable ability to use IT to maximise efficiency
  • The ability to work discretely and manage confidential data in line with GDPR (training will be provided)
